It's your money....don't print it

Today’s schools – be they large or small – realise that it’s impossible to achieve better results if they simply do the same thing over and over again. Many people have an instinctive dislike of change and feel more secure sticking with old, habitual ways of working. The reality is that schools must embrace new ideas and technologies to create efficiencies and improve the bottom line.

One of the areas in which savings can be made is print production and management. The range of devices and print management software has grown in the past 10 years, beyond the standard copier or printer to all-encompassing multifunctional devices (MFD). For the buyer the basic rules still apply, however what does the future hold?

Can your print hardware provider survive an economic downturn? Today’s financial environment has really put the squeeze on businesses in all sectors and, as we have seen, no organisation is immune to the need for austerity. In essence you might really want to research your current and future suppliers...due diligence is the key.

How valuable is the luxury of a personal desk top printer? Let’s be honest, we all love to print documents in colour and we don’t want to walk more than a few paces to collect them.  We are well aware this is not economic; my excuse is that the document is ‘top secret’ or ‘urgent’ and has to be in colour. You and I both know this is an expensive, lazy attitude and may lead to ‘lines’ or ‘detention’.  The solution, if you do need colour, is to print to the larger MFD and, if it’s really top secret, print to the MFD’s mail box and collect the prints at your convenience.

What does the future hold and will I need documents? Yes and no.  As a buyer you will need to consider short and long term costs. Schools and colleges throughout the UK are embracing technology with more and more on-line activity and web based homework, iPad’s, tablets and laptops.  The question is has your current provider got the capacity to support the future?


Print management and the environment.  I’m sure some of us really do care about the environmental impact on future generations.  I’m sure all of us care about costs. How economical are your existing print devices?  In terms of the energy they use, the very latest print and copy devices can save hundreds of pounds annually.


Three Quick Tips....

  • Make sure your MFD is set to default to black and white.
  • If you have to print emails, delete the ‘footer’, in fact delete all duplicated and un-necessary information.
  • Use duplex – double sided’s not difficult...think of the trees!
