University of Cambridge Primary School is a Single Academy Trust in Cambridgeshire and was the first primary University Training School in the UK. The school is a co-educational primary for pupils aged 4 to 11 and presently has just over 650 pupils. The school newly opened in 2015 and is now at full capacity.
The Background
Regrettably, but unfortunately not unusual for an outsourced cleaning services provision, the incumbent provider at the school was delivering an unacceptable level of service. Due to the excellent work and diligence of the School Business Manager through monitoring of performance, measurement of KPI’s and provision of written notice to remedy contract breaches the incumbent agreed to terminate their contract early.
Having previously worked with University of Cambridge Primary School on several projects, we were approached by the School Business Manager to run the new Cleaning Services tender.
The school wished to regain a high standard of cleanliness as well as reintroduce proactive and reactive methodology to any challenges on a day-to-day basis. There was also the requirement to ensure and maintain a good level of communication with the cleaning services provider.
The tender process involved defining the cleaning requirements, preparing tender documents, evaluating bids, and selecting a suitable cleaning service provider whilst complying with the Public Contracts Regulations 2015.
Results
From the 16 suppliers which registered to view the opportunity, Eight suppliers provided completed Selection Questionnaire (SQ) submissions. Five suppliers were shortlisted to the second Invitation to Tender (ITT) stage and four were invited to the presentation day.
Trinity Harper Cleaning Ltd were awarded the contract based on their overall submission and well thought out approach alongside their understanding of requirements and daily challenges.
